Who it’s for

Firms where good people do repetitive admin.

  • Accounting and bookkeeping practices setting up new clients and jobs, filing documents and handing work between staff.
  • Professional-services firms — engineering, design, consulting, advisory — creating projects, folders, checklists and approvals by hand.
  • Growing SMEs on Microsoft 365 (roughly 5–200 staff) whose team re-keys the same details between Outlook, Teams, SharePoint and other business apps.
  • Teams that can’t hire fast enough and need capacity from the people they already have.

What we automate

Typical workflows.

Client & job setup

When a new client or job is approved, the Teams channel, SharePoint folders, checklist and tasks are created automatically — the same way every time.

Project & matter setup

One click provisions the workspace, folder structure, Planner plan and kickoff checklist for a new project or matter.

Internal approvals & handoffs

Requests routed to the right person in Teams or Outlook, with reminders, escalation and an audit trail.

Filing & document routing

Documents land in the right SharePoint library with consistent naming, instead of sitting in inboxes.

Enquiry intake & routing

Website and email enquiries captured, routed to the right person and followed up internally until someone owns them.

Reminders & follow-ups

Scheduled internal reminders and follow-ups so nothing depends on someone remembering.

Where AI genuinely helps, it prepares or sorts information; your team approves anything important. We never lead with AI and never let it make decisions on its own.

How it works

Call → Assessment → Build → Handover.

  1. Free 30-minute call — we confirm the problem, who owns the process, which systems are involved and whether it’s worth assessing. No sales script.
  2. Automation Assessment — $990 fixed — a workshop with the process owner; a map of up to three workflows; baseline hours; a check of what your systems and licences can actually do; ranked options including “don’t automate”; and a fixed quote. Credited in full against a build signed within 30 days.
  3. Fixed-price build — Simple builds from $2,900 (one trigger, up to two systems); Standard builds from $4,900 (two to three systems, approvals, exception queue). Built in your own tenant and accounts.
  4. Handover + 30-day stabilisation — testing against agreed acceptance tests, a runbook, a named owner on your side, training, and 30 days to iron out real-world exceptions. Optional Care afterwards — Maintain $750/month or Improve $1,250/month.

How we build

Enterprise discipline, small-business price.

A common reason automation fails is that nobody planned for what goes wrong. Every PulseForge build includes:

  • Exception handling — missing data, duplicates, unavailable systems and rejected approvals are designed for, not discovered later.
  • Monitoring and alerts — failures are visible, not silent.
  • A runbook and a named owner — your team knows how it works and who looks after it.
  • Your accounts, your licences — built in your tenant, with no shared credentials and a documented way to switch it off.
  • Handover your IT provider can run — written so any competent provider can maintain it. No lock-in.
  • A baseline first — we record how long the work takes today, so improvement can be measured.

Boundaries

What we don’t do.

PulseForge configures and connects supported business platforms you already use. We deliver defined workflows with testing, documentation and handover. We do not build bespoke applications, implement replacement CRMs, provide managed IT services, provide cybersecurity services or automate regulated professional decisions. We don’t collect, store or route client identity or KYC documents, tax file numbers, or health or participant clinical records in any automation.

Frequently asked

Business Automation FAQ.

Do I need to replace my existing systems?

No. We build inside the systems you already use — Microsoft 365 first, plus supported business apps. Your practice software, CRM or job-management system stays exactly as it is.

We already have an IT provider. Is that a problem?

No. PulseForge is project-only — we don’t provide managed IT services. We work alongside your IT provider and write the handover so they can support it.

What does the assessment cost, and what if automation isn’t worth it?

$990 ex GST, fixed. If automation isn’t worth doing, we say so in writing — that’s a valid outcome. If we go ahead, the full $990 is credited against a build signed within 30 days.

Is there a monthly fee?

No compulsory monthly fee. Builds are fixed-price and you own them. Optional Care plans — Maintain $750/month or Improve $1,250/month ex GST — cover business-hours monitoring, fixes and small changes, month-to-month after the 30-day stabilisation.

Will I need extra software licences?

Often not — many workflows run on the Microsoft 365 you already pay for. Where a premium connector or licence is genuinely needed, we quote it in the assessment and it’s paid by you directly to the vendor.

Do you use AI?

Only where it clearly helps — for example sorting incoming requests or pre-filling information — and always with your team approving anything important. Most workflows don’t need AI at all.

Is it compliant with Australian requirements?

We design for the Privacy Act 1988, keep data in your own accounts where possible and document where each tool stores data. Any automated messages to customers include sender identification and opt-out where required. We don’t automate regulated professional decisions.

Where is your team losing hours?

Free 30-minute call. We’ll look at where the admin goes, tell you honestly whether automation is worth it, and what a fixed-price assessment would cover.
