1. Our services
PulseForge is a Melbourne-based Australian business technology company serving businesses Australia-wide. We provide four service families, in this order: Business Automation, Microsoft 365 & Cloud Migration, Websites and Business Product Sourcing. Every engagement starts with a free 30-minute call. We work on a project basis and do not provide managed IT services.
1.1 Business Automation
Fixed-price workflow automation of internal admin, configured inside the client's own Microsoft 365 and supported business apps. Engagements start with a fixed-price Automation Assessment ($990 ex GST, paid upfront, credited in full against a build signed within 30 days of the assessment report). The assessment covers a workshop, up to three workflows mapped, a baseline of current hours, a systems and licence check, ranked options and a fixed quote; a recommendation not to automate is a valid outcome. Builds are fixed-price (Simple from $2,900, Standard from $4,900 ex GST) and are defined in a Statement of Work. Every build includes exception handling, monitoring and alerts, a runbook, a named client owner, training, a 30-day stabilisation period and a documented disable procedure. Optional Care is available after stabilisation (Maintain $750 or Improve $1,250 per month ex GST). Builds use client-owned accounts and licences; platform licences are quoted in the assessment and paid by the client directly to the vendor. PulseForge does not build bespoke applications, implement replacement CRMs, provide managed IT or cybersecurity services, automate regulated professional decisions, or collect, store or route client identity or KYC documents, tax file numbers, or health or participant clinical records.
1.2 Microsoft 365 & Cloud Migration
Structured Microsoft 365, SharePoint, OneDrive and Windows 11 migration projects — assessments $990 (Windows 11) or $1,990 (Microsoft 365) ex GST, implementations from $2,490 ex GST. After a free 30-minute call, every migration begins with a paid assessment that produces a documented migration plan; the Microsoft 365 Migration Assessment fee is credited against implementation projects of $10,000 or more, per the Statement of Work. Pricing excludes Microsoft licences, migration-tool licences, hardware, remediation of unsupported applications, cybersecurity assessment (referred to a specialist cybersecurity provider), custom application development, after-hours work (unless quoted), large-scale data clean-up, third-party charges and work not identified in discovery. PulseForge does not provide managed helpdesk or 24/7 IT support.
1.3 Websites
One-time website builds — Business Website ($1,990 ex GST), Growth Website (from $3,490 ex GST) and Professional Website (from $5,900 ex GST). Revision rounds, post-launch support and timelines for each tier are stated in your proposal. Website Redesign, Landing Pages and selective Shopify builds are available as separate engagements. Website Care Plans (Essential $149, Growth $299, Premium $499 per month ex GST) are an optional monthly service.
1.4 Business Product Sourcing
Requirement-led sourcing of workplace products, business accessories and custom commercial items. The initial discussion is free. Complex sourcing briefs from $490 ex GST. Custom manufacturing assessments from $990 ex GST. Product and delivery pricing is supplied by written quotation. Special-order and custom-sourced products require a deposit before PulseForge places an order; exact payment milestones, delivery conditions and warranty terms are stated in the quotation. PulseForge may decline requests that are unsuitable, highly regulated, uneconomic or outside its acceptable risk profile.
1.5 Regulatory boundaries
PulseForge does not provide legal, medical, financial, credit, immigration or other regulated professional advice. Automations are configured for internal admin workflows; regulated professional decisions are never automated, and a named person in your team approves anything important. Where a workflow uses AI, it only prepares or sorts information for human review. Cybersecurity services are not offered by PulseForge; where needed, clients are referred to a specialist cybersecurity provider under a separate engagement. See our AI Use Policy for details.
2. Proposals and Statements of Work
Before any paid engagement, we provide a written proposal or Statement of Work (SoW) covering:
- Scope of work and exclusions
- Deliverables, acceptance tests and timeline
- Fixed price and payment milestones
- Systems, integrations and platform licences involved (and who pays for them)
- Optional Care or Website Care Plan scope, if selected
The proposal/SoW takes precedence over generic descriptions on this website. Work begins after written acceptance (email or signature) and payment of the initial invoice. Changes to agreed scope are documented and approved by you before any extra cost is incurred.
3. Fees and payment
All prices are in Australian Dollars (AUD) and exclude GST unless explicitly stated. GST is added where applicable.
- Automation Assessment — $990, invoiced and paid upfront before the workshop. Credited in full against a build signed within 30 days of the assessment report.
- Automation builds — fixed price, invoiced 50% on commencement, 30% when the build is ready for acceptance testing and 20% on acceptance.
- Care (optional) — Maintain $750 per month (business-hours monitoring and up to 2 hours of fixes) or Improve $1,250 per month (Maintain plus up to 4 hours of small changes and a quarterly improvement review). Invoiced monthly in advance. Work outside Care is billed at $220 per hour.
- Migration, website and sourcing projects — fixed price or by quotation, with payment milestones or deposits as stated in your proposal or quotation.
- Website Care Plans — invoiced monthly in advance.
- Platform licences and third-party costs — Microsoft and other platform licences, domains, hosting and other third-party subscriptions are held in your name and paid by you directly to the provider. PulseForge does not resell or mark up platform licences.
Late payments may incur reasonable late fees and may result in work being paused after written notice.
4. Minimum terms
Most of our work is project-based with no ongoing commitment. Exact terms for your engagement are stated in your SoW.
- Business Automation — no minimum term on assessments or builds. Optional Care continues month-to-month after the 30-day stabilisation period, with no minimum term and 30 days' written notice to cancel. Care is delivered in business hours (Monday to Friday, Melbourne time); it is not a 24/7 service.
- Microsoft 365 & Cloud Migration — fixed-scope assessments and fixed-price implementations with milestone payments. No recurring commitment after handover. Agreed post-migration support is included per the Statement of Work.
- Websites — one-time projects. Post-launch support is included per tier (Business 14 days · Growth 30 days · Professional as agreed in the proposal). No recurring minimum.
- Website Care Plans — 3-month minimum, then month-to-month with 30 days' written notice to cancel.
- Business Product Sourcing — no ongoing commitment for briefs or assessments. Product orders are governed by the quotation, supplier terms and the Australian Consumer Law; special-order and custom-sourced products require a deposit before PulseForge places the order.
5. Third-party platforms and licences
Our work is configured inside third-party platforms you use (e.g. Microsoft 365, Power Automate, SharePoint, Teams, Xero and other business apps). You acknowledge that:
- Accounts and licences for these platforms are held in your name and paid by you directly to the vendor; licence costs are quoted in the assessment or proposal where we can identify them
- Third-party platforms have their own terms, pricing and availability — PulseForge is not responsible for outages, price changes or product changes by those providers
- Some work requires admin or API access; you grant us delegated access on a need-to-know basis for the agreed scope, and we remove it at the end of the engagement
- Refunds of any third-party licence or subscription are subject to that provider's terms
6. Client responsibilities
For our services to deliver value, we rely on you to:
- Nominate a process owner who can make decisions and sign off acceptance tests
- Provide timely access to the systems in scope, accurate process information and suitable test data
- Review and approve workflow designs, configurations and any automated messages before they go live
- Hold and pay for the platform licences your workflows need
- Obtain any consent required for automated messages sent on your behalf (see our Communication & Consent Policy)
- Keep human approval in place for anything important, as designed
- Use the workflows and systems for lawful, ethical purposes only
Failure to provide reasonable cooperation may delay delivery or affect outcomes. We may pause work where we cannot proceed safely or ethically.
7. No guarantee of outcomes
We do not guarantee:
- Specific hours saved, cost savings or revenue
- Specific rankings in Google, ChatGPT, Gemini, Perplexity or any other search/AI platform
- Continuous availability of any third-party platform or AI provider
- Specific migration project timelines where dependent on third-party approvals, licences or data volumes
- Product-sourcing lead times or landed costs where dependent on supplier, freight or customs conditions
Outcomes depend on adoption by your team, data quality, existing systems, third-party platform behaviour and other factors outside our control. We record a baseline so improvement can be measured, but any estimates shared during discovery or in an assessment are indicative, not commitments.
8. Intellectual property
- Your content — business information, brand assets, copy and data remain yours.
- What we build for you — on payment of the relevant fees, you own the flows, configurations and documentation built for you (including the runbook and disable procedure). They live in your own accounts and can be run by your IT provider without us.
- PulseForge IP — our generic templates, methods, reusable frameworks and internal tooling remain the intellectual property of PulseForge. Where any of these are incorporated into what we build for you, you receive a non-exclusive, perpetual, royalty-free licence to use them as part of that deliverable for your business. Handover deliverables are defined in the applicable Statement of Work.
- Open-source & third-party — open-source components remain governed by their original licences. Third-party platforms are governed by their own terms.
9. Limitation of liability
To the maximum extent permitted by Australian law:
- Our total aggregate liability for any claim arising from our services is limited to the total fees paid under the proposal or Statement of Work the claim relates to. This cap doesn't apply to liability that can't be limited by law, or to a breach of confidentiality or privacy caused by us
- We are not liable for indirect, consequential, special or punitive damages
- We are not liable for loss of profits, revenue, business opportunities, data or goodwill
- We are not liable for the actions, omissions or outages of third-party platforms
Nothing in these terms excludes liability that cannot be excluded under the Australian Consumer Law or other applicable law. Where statutory guarantees apply and we breach them, our liability is limited to (at our option) re-supplying the services or refunding fees paid for the affected service.
10. Cancellation and termination
- Assessments — paid upfront. If you cancel before the workshop, see our Refund & Cancellation Policy.
- Fixed-price projects and builds — you can cancel by written notice at any time. Cancellation charges are limited to work completed and costs committed up to the date of notice.
- Care — after the 30-day stabilisation period, either party can cancel with 30 days' written notice. There is no minimum term.
- Website Care Plans — after the 3-month minimum, either party can cancel with 30 days' written notice.
- On cancellation, PulseForge hands over the runbook, documentation and admin access specified in the applicable Statement of Work, and removes its delegated access to your systems.
Either party may terminate for a material breach (for example non-payment, unlawful use, fraud, misuse of AI tools, or harassment) that isn't remedied within 10 business days of written notice. On termination, you pay for work performed to date, and we refund prepaid fees for work not yet performed. See our Refund & Cancellation Policy for full conditions.
11. Refunds
Fees for work already performed are not refundable. Care and Website Care Plan fees are non-refundable for the current billing month. Platform licences are paid by you directly to the vendor and are refundable only under that vendor's terms. In exceptional cases (e.g. we cancel an engagement before any meaningful work is delivered), we may issue a partial or full refund at our discretion. Nothing in these terms limits your rights under the Australian Consumer Law. See the Refund & Cancellation Policy for details.
12. Acceptable use
You agree not to use PulseForge services to:
- Send unsolicited commercial electronic messages in breach of the Spam Act 2003 (Cth)
- Make calls that breach the Do Not Call Register Act 2006 (Cth)
- Provide regulated advice (legal, medical, financial, credit, migration) through automated workflows or AI
- Misrepresent your business, services or pricing
- Engage in fraud, deception or harassment
- Process data unlawfully or in breach of the Privacy Act 1988 (Cth)
- Resell or sub-license PulseForge's generic templates, methods or tooling without written permission
Breach of acceptable use may result in immediate suspension or termination without refund of fees for work already performed.
13. Confidentiality
Each party will keep the other's confidential information confidential and only use it for the purposes of the engagement. Confidential information does not include information that is publicly available, was independently developed, or is required to be disclosed by law.
14. Force majeure
Neither party is liable for failure to perform due to events beyond reasonable control — natural disasters, extended internet/telecommunications outages, third-party platform failures, government action, pandemics or similar. The affected party will notify the other and resume performance as soon as reasonably possible.
15. Changes to terms
We may update these terms from time to time. Material changes will be notified to active clients by email at least 30 days before they take effect. Changes apply only to new engagements and renewals after the effective date; for a signed proposal in progress, the terms in force at signing apply unless we both agree otherwise in writing.
16. Governing law
These terms are governed by the laws of Victoria, Australia. Any dispute will be resolved in the courts of Victoria, Australia, unless agreed otherwise. Both parties agree to attempt good-faith resolution before commencing legal proceedings.
