The problem

Where practices lose hours

  • Setting up each new client or job by hand: SharePoint folders, Teams channel, checklists and internal tasks.
  • Filing documents and correspondence into the right client folder with the right name.
  • Internal handoffs between preparers, reviewers and partners living in email.
  • Reminders and follow-ups that depend on someone remembering.

Your practice software already does a lot. We focus on the Microsoft 365 side around it — the part most practice tools do not cover.

Our approach

What we automate

Client & job setup

Once a client is accepted in your practice software, the SharePoint folders, Teams channel and staff checklist are created automatically.

Filing & routing

Documents saved to the right client and year folder with consistent naming.

Internal handoffs

Work moves from preparer to reviewer to partner with reminders and a clear record.

Reminders

Internal reminders for recurring work, so nothing depends on memory.

What we deliberately don’t do: we don’t collect, store or route client identity or KYC documents, tax file numbers, or health or participant clinical records in any automation, we don’t replace your practice-management software, and we don’t automate professional judgements.

When

Timing around your busy season

We schedule builds around October lodgement and quarterly BAS peaks, so changes land in quieter periods and your team has time to adopt them. A 30-minute call is fine any time.

How we build

  • Exception handling — missing data, duplicates, unavailable systems and rejected approvals are designed for up front.
  • Monitoring and alerts — failures are visible, not silent.
  • Runbook and named owner — your team knows how it works and who looks after it.
  • Your accounts, your licences — built in your own Microsoft 365 tenant, with a documented way to switch it off.
  • Handover your IT provider can run — no lock-in to PulseForge.
  • A baseline first — we record how long the work takes today, so improvement can be measured.

FAQ

Frequently asked questions

Do you integrate directly with XPM or MYOB Practice?

We focus on the Microsoft 365 side (SharePoint, Teams, Outlook, Planner) around your practice software. Direct integrations depend on what each vendor’s platform allows; we check feasibility in the assessment and never promise an integration we cannot support properly.

We already use FYI, Karbon or Ignition — is this still useful?

Often yes. Those tools handle client-facing workflow well; we automate the internal Microsoft 365 admin around them, such as folder and channel setup, filing and internal handoffs. If your tools already cover a workflow, we will tell you.

Do you handle client ID or AML/CTF documents?

No. Our automations do not collect, store or route identity or KYC documents, tax file numbers, or health or participant clinical records.

How much does it cost?

Automation Assessment $990 ex GST (credited to the build), Simple builds from $2,900 and Standard builds from $4,900 ex GST.

Do you work with practices outside Melbourne?

Yes, across Australia. Most work is delivered remotely.
