The problem

Where providers lose hours

  • Onboarding each new support worker by hand: checklists, system access, training and certificate expiry dates in spreadsheets.
  • Leave, shift-change and expense approvals scattered across email and text messages.
  • Evidence for your NDIS Practice Standards audit spread across inboxes and folders.
  • Monthly reports for managers, the board and funders rebuilt from scratch every time.

Registration requirements keep growing: from 1 July 2026, providers of supported independent living (SIL) and NDIS digital platform services must be registered with the NDIS Quality and Safeguards Commission; existing SIL providers had until 1 October 2026 to apply. The care work matters most; the admin around it shouldn't swallow your coordinators' week.

Our approach

What we automate

Staff onboarding

New support worker added: onboarding checklist, Teams access request, training tasks and reminders created automatically. NDIS Worker Screening clearance numbers, outcomes and expiry dates tracked; copies of ID, checks and certificates are never collected or stored.

Approvals

Leave, shift-change, expense and purchase approvals in Teams or Outlook, with the right manager, a reminder and a clear record. Shift-change approvals reference roster IDs and times, not participant names or support details.

Audit-evidence filing

Organisational evidence only (policies, procedures, training records, de-identified internal review summaries) filed into a structured SharePoint library, ready for your next Practice Standards audit. Participant files stay in your care-management system.

Incident follow-ups

When an incident is logged in your incident system, the right manager gets a notification containing only the incident reference, category and due date, and follow-up tasks are tracked. Participant names, descriptions and health details never leave your incident system.

Reporting

Monthly roll-ups built from de-identified counts: onboarding status, overdue tasks, approvals and grant milestones.

Board & grant admin

Board-paper packs, grant milestones and acquittal reminders, so deadlines don't depend on one person's inbox. Board packs pull de-identified counts and status only; incident and complaint detail stays in your incident system.

Our hard limit: our automations don't collect, store or route client identity or KYC documents, tax file numbers, or health or participant clinical records (including NDIS plans). Workflows track status, dates and tasks only; participant records stay in your care-management system.

Where your data lives: in your own Microsoft 365 tenant. We build with least-privilege access, notifications go only to named roles, and we document every data field each workflow touches before go-live.

FAQ

Frequently asked questions

Do your workflows handle participant information or clinical records?

No. Our automations don't collect, store or route client identity or KYC documents, tax file numbers, or health or participant clinical records (including NDIS plans). They track status, dates and tasks; the records themselves stay in your care-management system.

Do you replace our care-management or rostering software?

No. Tools like your client-management, rostering or payroll system stay as they are. We automate the Microsoft 365 admin around them: onboarding checklists, approvals, filing, reminders and reporting.

Can you help with NDIS Practice Standards audits?

We don't do audits or compliance advice; an approved quality auditor or NDIS consultant does that. We can make evidence easier to keep: a structured SharePoint library, filing rules and reminders, so the evidence is in one place when your audit comes around.

How much does it cost?

Automation Assessment $990 ex GST (credited in full against a build signed within 30 days of the assessment report), Simple builds from $2,900 and Standard builds from $4,900 ex GST.

Do you work with providers outside Melbourne?

Yes, across Australia. Most work is delivered remotely, with onsite visits in Melbourne by appointment.
