The problem

The manual way (and why it breaks)

  • Someone creates folders by hand — and names them slightly differently each time.
  • The Teams channel and checklist are forgotten or set up late.
  • Access is granted inconsistently, so the wrong people see the wrong files.
  • Nobody can tell at a glance which setups are complete.

How it works

The automated setup — step by step

  1. Trigger — a new item in a SharePoint “New clients / jobs” list (or a Microsoft Form, or a button in Teams).
  2. Validate — check required fields and duplicates; send exceptions to a review queue instead of failing silently.
  3. Create folders — copy a standard folder template into the right SharePoint library with consistent naming.
  4. Set access — apply the right permissions for the team working on that client or job.
  5. Create the Teams channel and pin the folder and checklist.
  6. Add the checklist and tasks in Planner and assign them.
  7. Notify the owner, and mark the list item “Setup complete” with links.
  8. Monitor — alert someone if any step fails, with a simple way to retry.

Options

Do it yourself, or get help?

A simple version is within reach of a confident Microsoft 365 administrator. The parts that usually go wrong are exception handling, permissions and documentation — which is where most of the build time goes in a production setup.

FAQ

Frequently asked questions

Do I need Power Automate Premium for this?

Usually not. SharePoint, Teams, Planner, Outlook and Forms use standard connectors included in Microsoft 365 business plans.

Can it start from our practice or CRM software?

Sometimes. It depends on whether that software offers a supported connector or trigger. If not, a simple form or SharePoint list is a reliable trigger.

How long does it take to build properly?

Typically one to two weeks after the assessment and access are in place, followed by a 30-day stabilisation period. At PulseForge it is usually a Simple or Standard build — from $2,900 or $4,900 ex GST.

Should client identity documents go through this flow?

No. Our automations don't collect, store or route client identity or KYC documents, tax file numbers, or health or participant clinical records. Keep that information in the systems designed for it; this automation handles folders, channels and tasks only.
