Enquiry response, follow-up & CRM workflows — one managed system.
Missed-call recovery, quote follow-up, review requests, CRM integration and AI voice overflow — delivered as a single managed system inside one monthly retainer. Not sold as separate commodity products. Scoped in a free discovery, then quoted as a fixed setup plus a monthly plan.
Best fit for these operations.
- Australian businesses handling 20+ enquiries per week via phone, web forms or SMS.
- Field-service & trades operators where the phone rings when nobody's free to answer it.
- Quote-heavy operators (installers, contractors, professional services) whose quotes go cold without follow-up.
- Small teams where "admin capacity" is the bottleneck between more enquiries and more revenue.
- Under 20 enquiries per week? Automation is usually overkill — start with a better website first.
What Customer Automation fixes.
- Missed calls that never get returned because voicemail gets ignored.
- Web enquiries that sit unanswered for hours or days.
- Quotes sent, then forgotten — no follow-up sequence, no re-engagement.
- Manual review requests that nobody remembers to send.
- Enquiries scattered across email inboxes, phone logs, WhatsApp and post-it notes — with no CRM trail.
- Adding admin headcount to solve a workflow problem.
One managed system — the modules inside.
Across web forms, phone, SMS and email. Routes to the right person automatically.
Instant SMS text-back to callers who don't get through — captures details before they call a competitor.
Scheduled SMS + email touches (Day 1, 3, 7, 14, 180) in your tone. Pauses on reply.
Neutral post-job review request sent to every eligible customer, with an optional private feedback channel available to all customers.
ServiceM8, Jobber, HubSpot, Xero, Simpro, AroFlo, Pipedrive and most API-based tools.
Answers after-hours and peak overflow calls with your approved scripts and human fallback rules.
Discovery → Design → Build → Handover.
- Discovery (free) — call to map current enquiry flow, tools in use, and which modules matter most for your operation.
- Design — workflow architecture and integration plan, approved scripts drafted with your team. Fixed-price setup + monthly proposal locked at this stage.
- Build — connected in weekly increments. Typical time to live: 2–3 weeks after signed scope and required approvals.
- Handover — end-to-end testing, human fallback rules activated, training session and written documentation. Ongoing monthly retainer covers monitoring, tuning and support.
Common shapes of automation engagement.
- Field-service enquiry & follow-up — trades operators capturing web + phone + SMS enquiries, routing to on-call, following up quotes without manual chasing.
- Training-provider enrolment — course enquiry intake, waitlist handling, pre-course paperwork reminders, sensitive matters escalated.
- Professional-services intake — new-client information collection, appointment booking, document requests, all logged to your CRM.
- After-hours voice overflow — voice agent picks up calls outside business hours, qualifies urgency, alerts on-call staff for genuine emergencies.
- Quote-heavy installer follow-up — structured post-quote SMS + email sequences, sending the customer back to close.
What Customer Automation is not.
- Not a call centre — the voice agent handles overflow and after-hours. Business-hours calls typically go to your team first.
- Not for regulated advice — the system never provides legal, medical, financial or migration advice. Sensitive matters always escalate to a human.
- Not sold as separate products — CRM setup, voice, quote follow-up, review workflows and lead capture are modules of Customer Automation, not standalone commercial offerings.
- Not a Google Ads or SEO service — traffic acquisition is a separate engagement.
- Third-party costs (Twilio, Vapi, ServiceM8, SMS, call minutes, hosting) are billed by their providers or passed through transparently. Not included in the setup or monthly figure unless explicitly stated.
Customer Automation FAQ.
Do I need to change my phone number?
No. We use call forwarding — you keep your existing number and forward calls to the voice agent during whichever hours you want it active. Your callers only know they got through to your business.
What happens when the voice agent can't handle a call?
Every setup includes human fallback rules defined during onboarding. Urgent calls, complaints, unusual requests or anything outside scope triggers an immediate SMS to you with caller details, transcript summary and call recording. The system errs on the side of escalating whenever unsure.
Which CRMs and job-management tools do you connect to?
ServiceM8, Jobber, Simpro, AroFlo, Tradify, HubSpot, Pipedrive, Xero, MYOB, Stripe, Google Calendar, Outlook — and most tools with a public API or Zapier support.
What's the actual monthly cost?
From $299/month for the PulseForge retainer (monitoring, tuning, support, reporting). Third-party platform costs (Twilio, Vapi, SMS, call minutes) are billed by those providers or passed through at cost — quoted transparently before you sign.
Can I cancel?
3-month minimum on the monthly component, then 30 days' notice. Setup investment is fixed regardless of cancellation timing.
Are AI voices compliant with Australian regulations?
Voice agents are configured to disclose they're an AI assistant at the start of every call (Australian best practice). All SMS uses sender ID and opt-out per ACMA guidance. Data location depends on selected tools and integrations, which we document.
