Portals, dashboards & internal workflows — engineered around your operation.
Secure client portals, staff dashboards, internal workflows and connected business systems — designed around how your business actually operates, not around a generic template. Every engagement starts with a paid discovery that produces a written scope, architecture and fixed build quote before any implementation begins.
Best fit for these operations.
- Professional-services firms whose client interactions currently live in email attachments and spreadsheets.
- Contractors and industrial operators managing jobs, compliance and documentation across too many tools.
- Established SMEs whose internal workflow is a mix of Google Sheets, Xero, ServiceM8 and someone's memory.
- Growing operations where adding staff no longer solves the workflow problem — a real system does.
- Not for you if a well-configured off-the-shelf tool would already solve the problem — we'll tell you honestly.
What a portal or business system fixes.
- Client-facing communications scattered across email, Dropbox, WhatsApp and shared folders.
- Internal processes that only one person really understands — a documented workflow gap.
- Compliance registers, document approvals or audit trails living in fragile spreadsheets.
- Staff spending hours on data entry that could be handled by a form + workflow.
- Reporting that requires stitching together exports from three systems every month.
- Suppliers or subcontractors needing structured access to project information without granting them raw system logins.
The three engagement stages.
- Working sessions with your operators & decision-makers
- Current process mapped end-to-end
- Written system architecture & data model
- User roles, permissions & security requirements
- Integration list
- Fixed-price build proposal at the end
- Client portal, staff dashboard or internal workflow
- Role-based access, audit logging, secure authentication
- Custom forms, document handling, notifications
- Integration with your CRM, accounting, job software
- Australian data hosting where available
- Written handover documentation & training session
- Milestone-based payments across 4–10 typical weeks
- Hosting, monitoring & security patching
- Backup verification & recovery drills
- Small enhancements (up to 2 hrs/mo included)
- Priority response for critical issues
- Quarterly usage & optimisation review
- Documentation kept current as the system evolves
Discovery → Design → Build → Handover.
- Discovery (paid, from $1,500) — working sessions with your team map the current-state process, integrations and constraints. Written scope, architecture and data model produced.
- Design — architecture and data model refined. Fixed-price implementation proposal locked at this stage.
- Build — milestone-based delivery across a typical 4–10 weeks (scope-dependent). Weekly progress checkpoints; you sign off milestones before next payment.
- Handover — testing across real conditions, written documentation, training session with your team, handover deliverables as defined in the Statement of Work. You control your domain, core accounts and agreed deliverables; reusable internal frameworks and licensed components remain under their respective terms.
Common shapes of portal / systems engagement.
- Client portal + dashboard — secure client-facing area for document exchange, status visibility and structured intake; internal dashboard for your team.
- Contractor portfolio + RFQ workflow — structured RFQ intake, scope-question capture, quote routing and approval flow.
- Compliance register + document workflows — capture, sign, store and audit compliance documents (SWMS, licences, insurances, expiry tracking).
- Operational dashboard — one screen aggregating job status, revenue, staff utilisation across the tools you already use.
- Supplier / subcontractor portal — structured access to project information without granting raw system logins.
- Internal workflow app — replace the fragile "Google Sheet + email chain" that only one person understands.
What we're not.
- Not a SaaS product — every build is bespoke to your operation. If a well-configured off-the-shelf tool would solve the problem, we'll say so and refer you.
- Not for regulated advice — the system handles workflow, intake and documentation; we don't build systems that provide legal, medical, financial or migration advice.
- Third-party platform costs (hosting, AWS/Azure, licences, subscriptions) are billed by their providers and passed through transparently. Not included in the setup or implementation figure unless explicitly stated.
- No speculative implementation quote until discovery is complete — that's the whole point of paid discovery.
- Change requests during build are scoped and quoted separately from the fixed-price milestones.
Portals & Business Systems FAQ.
Why paid discovery instead of free scoping?
Because a portal or business-system engagement can only be quoted honestly after actually understanding your operation. Paid discovery forces us to produce useful thinking (architecture, data model, integration plan) before quoting — and forces you to have the internal conversations that make the project succeed. The fee is fully credited if you proceed with the build.
What if I don't want to proceed with the build?
You own the discovery output — scope, architecture, data model, integration plan. You can take it to another builder, share it internally, or shelve the project. We'd rather you decline to proceed than get pushed into a build that isn't right.
Where is the data hosted?
Australian data hosting where available (AWS Sydney, Azure Australia). Actual data location depends on selected integrations and third-party tools — documented explicitly in your discovery output.
Do I need ongoing support?
Only if you don't have internal engineering. Systems Support (from $500/month) covers hosting, monitoring, patching, small enhancements and priority response. If you have your own dev/IT team, they can maintain the system directly — we hand over full source, credentials and documentation.
How long does a typical build take?
Typical 4–10 weeks depending on scope, from signed proposal to launch — after required content, access and approvals are received. Final timeline is confirmed in the proposal at the end of discovery.
Who owns the built system?
You retain ownership and control of the source code, data, documentation and hosting we deliver. Third-party platforms, licences and services (AWS, Azure, SaaS integrations) remain subject to their respective terms, which we document.
Ready to scope your portal or business system?
Book a free intro call first — we'll confirm fit, discuss scope, and only recommend a paid discovery if the engagement makes sense on both sides.
